We appreciate you taking time to consider sponsoring SQLSaturday Orlando. Sponsors are an important part of our event; we literally could not put on the event without you. If you have any questions or need a custom sponsorship package please contact us. We'll do everything we can to help you have a successful event with us. If you’re new to SQLSaturday or haven’t sponsored SQLSaturday Orlando before we encourage you to contact us before you pick a sponsorship option.
All fees must be paid in advance. To register as a sponsor visit www.sqlsaturday.com and fill out our sponsorship registration form. We’ll email you an invoice that can be paid via credit card or PayPal.
All sponsors will be receive the following base benefits when they sign up for one of our core plans:
All attendees are provided with sponsor specific raffle tickets. The more interesting your prize, the more the attendees will flock to your booth. We ask that raffle prizes be valued at a minimum of $100. Sponsors may raffle off multiple items and we encourage you to bring us low cost branded items that we can toss out while the crowd gathers for the end of day raffle drawing. After the event we will mail you all the raffle tickets from your box. There may be duplicates; depending on how exciting your prize is attendees may contribute more than one ticket to your box – but that’s a good thing, they are willing to provide you their contact information in return for the chance to win.
We will provide you with a shipping address for any materials you wish to send approximately 6 weeks prior the event. Please clearly label boxes that we should open for inclusion in the attendee bags. Please also make sure that all members of your sponsor team that are attending register for the event – they do not need to pay for lunch, which is included in your sponsorship.
Silver level and higher sponsors should arrive on site between 7:15 and 7:30 am. A table and two chairs will be set up for you and labeled with the sponsor name. Any packages you shipped to us ahead of time will be delivered to your table by our volunteers. You are responsible for providing a table cover, signage, and anything else you need. Note that access to 110V power is very limited. If you require 110V power, please notify us of that need as soon as possible so that we can make arrangements for that.
We recommend that sponsors eat lunch as soon as the food is on site or wait until after the attendees have eaten – this maximizes the time you’re available during the lunch break to interact with attendees.
The biggest challenge with community events is capturing contact information for follow ups. Few attendees will have business cards, and having them hand write their info often leads to a 30% or higher loss due to inability to read what they wrote! We provide attendees with a set of pre-printed raffle tickets that will contain their name and email address; they are then able to put these tickets into the raffle box at each sponsor table to try to win a prize. This gives you 100% readability and 0% loss! It is also more effective than any other technique we’ve seen for trying to capture contact information and that includes scanning their name badge.
Because we want you to be successful all of our sponsorship levels include the requirement that you provide a prize of at least $100 in value, and that you provide a full color 8-1/2 x 11 flyers that highlights the prize(s) you are providing for the raffle.
We will provide the raffle box for your table. We will have one table for all absentee vendors placed in the same area with our onsite vendors. Raffle ticket collection will proceed through the end of the day. If someone from your team is present we’ll ask them to draw the winning ticket, otherwise we’ll draw the ticket. Attendees must be present to win. If there is a physical prize we’ll give it to them, otherwise we’ll forward you their contact information for you to follow up with (for license keys, etc).
After the event we will mail you all the raffle tickets from your box. There may be duplicates; depending on how exciting your prize is attendees may contribute more than one ticket to your box – but that’s a good thing, they are willing to provide you their contact information in return for the chance to win.
We can also drop off any items that you need shipped at the local Fedex if it’s packaged and has a pre-paid label or account number.
